WeSyncApp AI Features & Data Disclosure

This disclosure explains how artificial intelligence ("AI") works inside WeSyncApp, operated by We Sync Global, LLC ("WeSyncApp," "we," "us"). It tells you which features use AI, which AI providers may receive your data, exactly what is sent to them, who owns the results, and how to use WeSyncApp without AI at all. It supplements — and should be read together with — our Terms of Service and the other documents it incorporates, including our Privacy Policy. If these documents conflict: (a) for matters involving personal information, the Privacy Policy controls; (b) for all other matters, the Terms of Service control over every policy; and (c) each policy supplies additional detail on the topics it covers where the Terms of Service are silent.

1. Which Features Use AI

In short: AI powers the consultant (research, marketing plans, brand kits), content generation, image/video/voiceover creation, Motion Art, transcription of your uploads, and stats interpretation. Everything else — campaigns, tasks, smart links, fan lists, the media library — works without AI.

The following WeSyncApp features use AI models to generate or analyze content. Each one runs only when you start it — there is no background or automatic AI processing of your account.

Features that do not use AI: account management, campaigns and tasks, smart links and link analytics, fan email capture and CSV export, metric CSV imports, the media library itself, and the weekly email digest (its content is assembled from your own activity data, not generated by AI).

2. Which AI Providers We Use — and Who Chooses Them

In short: You choose the providers. WeSyncApp uses a "bring your own key" (BYOK) model: AI features run only with API keys you supply in Settings, and only with the providers you configure. A no-provider "mock mode" also exists.

WeSyncApp does not ship with built-in AI credentials. AI features are powered by third-party providers you select and connect by entering your own API key in Settings:

Anthropic API — text generation (plans, research, brand kits, content) including a live web-search tool for artist research.
OpenAI API (or any OpenAI-compatible endpoint you configure) — the same text-generation roles (without web search), Whisper speech-to-text (fallback transcription), and image generation.
Google Gemini / Veo — image generation and image-to-video (including Motion Art).
fal.ai — image generation (FLUX) and video generation (Kling/MiniMax/Wan), including Motion Art.
ElevenLabs — text-to-speech voiceovers and Scribe speech-to-text (the primary transcription engine).

Soundcharts and Chartmetric (optional, also BYOK) are analytics data sources, not AI models; only the artist's name is sent to them as a search query.

Mock mode: the consultant can run with no provider configured at all. In mock mode, no data leaves WeSyncApp's servers to any AI provider, and outputs are placeholder/demo content.

Because keys are yours, your use of each provider is also governed by your own agreement with that provider, and usage is billed by the provider to you, not to us. Your API keys are stored in our database as you provided them, used server-side only, and never displayed back in full (only a masked last-4 hint). They are protected by our hosting provider's disk-level encryption and access controls but are not additionally encrypted by the application, and you can remove a saved key at any time in Settings — see our Privacy Policy's security section for details.

3. Exactly What Data Is Sent to AI Providers

In short: Text features send your consultation inputs and artist profile details. Transcription sends your actual uploaded audio file. Motion Art sends your uploaded cover image. Fan email addresses are never sent to any AI provider.

When you run an AI feature, WeSyncApp transmits the following to the provider you configured:

Text generation (research, plans, brand kits, content, evaluation):

Artist profile: name, genre, bio, city, country, and platform links;
Your consultation answers: release details, goals, budget, team notes, audience notes, extra notes, brand-interview answers (origin story, differentiator, how fans should feel, color instincts), and catalog performance/past-promotion notes;
A summary of metrics you imported;
Aggregate fan and link counts (numbers only);
Excerpts of prior research reports (up to roughly 4,000 characters each).

Analytics extraction: up to roughly 14,000 characters of the platform-analytics text you paste in, sent verbatim.

Stats interpretation: the Soundcharts/Chartmetric report text (public platform statistics about the named artist).

Image and video generation: the text prompts (derived from the artist's positioning and brand). For Motion Art and image-to-video, the uploaded cover image itself is transmitted to fal.ai or Google.

Voiceovers: the voiceover script text and your chosen voice, sent to ElevenLabs.

Media analysis / transcription: this is the important one — the full audio track of your uploaded file (converted to WAV) is transmitted to ElevenLabs (primary) or OpenAI Whisper (fallback) to produce the transcript. If neither key is configured, transcription is simply skipped and no audio leaves our servers. Uploaded video files themselves are not sent to AI providers; only the extracted audio is, for transcription.

Never sent to AI providers: fan email addresses or names, your password, your other stored API keys, and your account email. AI prompts only ever include aggregate fan counts.

Anything you type into free-text fields (for example, budget or team notes) will be included in prompts as written — avoid entering personal or confidential details you do not want a provider to process.

4. What AI Providers Do With That Data

In short: Under the API terms of the major providers, data sent through the API is not used to train their models by default — but their terms are between you and them, since the keys are yours.

Based on the providers' published policies as of this draft:

Anthropic and OpenAI state in their commercial/API terms that customer content submitted through their APIs is not used to train their models by default (absent opt-in). Both may retain API inputs and outputs for a limited period for abuse and safety monitoring (for example, OpenAI has described an up-to-30-day retention window for API data, subject to exceptions such as legal requirements).
Google, fal.ai, and ElevenLabs each publish their own API data-use and retention terms, which differ by product and account settings.

We do not control, and cannot modify, any provider's retention or use practices. Because you connect these providers with your own API keys, your contract with each provider governs their handling of your data, and any zero-data-retention or privacy options they offer are configured in your provider account, not in WeSyncApp. Provider policies change; check the current policy of any provider before connecting it. We will update this disclosure when we become aware of material changes, but you should not rely on this summary as a substitute for the providers' own terms.

WeSyncApp itself stores the AI outputs (research reports, plans, brand kits, generated content, transcripts, generated media) in your account so you can use them; our own retention practices are described in the Privacy Policy.

5. Your Consent — AI Is Opt-In and User-Initiated

In short: Nothing goes to an AI provider unless you (a) added that provider's key and (b) clicked to run the feature.

AI processing in WeSyncApp happens only when both of the following are true:

1.You configured the provider. With no API keys saved, text features either do nothing or run in mock mode, transcription is skipped, and no generation features are available.
2.You initiated the action — starting a consultation, generating a plan or content, requesting Motion Art, requesting a voiceover, or uploading media with a transcription provider configured.

By running an AI feature, you direct WeSyncApp to transmit the data described in Section 3 to the provider you selected. If some of that data describes another person — for example, an artist you manage rather than yourself — you are responsible for having the right to submit it (see Section 9).

6. AI Outputs Can Be Wrong — Review Before You Publish

In short: AI-generated research, plans, and content are drafts, not facts or professional advice. Check them before you post, send, or rely on them.

You acknowledge and agree that:

Outputs may be inaccurate. AI models can produce information that is wrong, outdated, or fabricated — including statements about real artists, platforms, marketing statistics, and industry practices. Web-search-assisted research reduces but does not eliminate this risk.
Outputs may not be unique. Similar prompts can produce similar outputs for other users of the same models. Do not assume any generated name, slogan, artwork, or copy is original or protectable, and clear anything important (for example, a brand name) before investing in it.
Outputs are not professional advice. Marketing plans, budget suggestions, and research reports are informational drafts — not legal, financial, accounting, or professional marketing advice, and no consultant-client or advisory relationship is created.
You must review before use. You are solely responsible for reviewing, fact-checking, editing, and approving any AI output before publishing it, sending it to fans, submitting it to platforms, or otherwise relying on it. What you publish is your content and your responsibility.
Transcripts and analyses are approximations. Speech-to-text transcripts, silence/beat detection, and extracted metrics may contain errors; verify before relying on them for published captions or business decisions.

7. Who Owns AI Outputs

In short: As between you and us, generated outputs are yours. We claim no ownership — but AI provider terms apply, and copyright law for AI works is unsettled.

Your inputs remain yours. You retain all rights you hold in the profiles, notes, media, and other material you submit.
Outputs are assigned to you. As between you and We Sync Global, LLC, and to the maximum extent of our rights, we assign to you all right, title, and interest we may have in AI outputs generated in your account, and we claim no ownership of them. We retain a limited license to host, process, and display outputs in your account solely to operate the service.
Provider terms also apply. Each AI provider's terms govern rights in outputs generated through that provider's API (major providers, including Anthropic and OpenAI, generally allocate output rights to the API customer — here, you, as the keyholder). We cannot grant you more rights in an output than the provider's terms allow.
No warranty of ownership or non-infringement. The legal status of AI-generated works is unsettled (for example, purely AI-generated material may not qualify for copyright protection in the United States), and we do not warrant that any output is original, protectable, or non-infringing.
No exclusivity. Because models can produce similar outputs for different users, your rights in an output do not prevent others from independently generating similar content.

8. Prohibited Uses of AI Features

In short: Don't use WeSyncApp's AI to deceive, impersonate, spam, or break the law — or your access can be suspended.

You may not use WeSyncApp's AI features to:

Impersonate or deceive — creating content, voices, or imagery that falsely presents itself as a real person (including another artist) without authorization, or presenting AI-generated material as authentic recordings or statements of a real person;
Spam or manipulate — generating bulk unsolicited messages, fake engagement, fake reviews, or deceptive streaming/chart manipulation content;
Infringe rights — generating content that violates another person's copyright, trademark, publicity, or privacy rights, including cloning a voice or replicating an artist's likeness without permission;
Harm or harass — generating unlawful, defamatory, harassing, or exploitative content, or content that violates platform rules where you publish it;
Violate provider policies — every AI provider you connect has its own usage policy (for example, Anthropic's and OpenAI's usage policies), and you must comply with it;
Misuse research about real people — consultation research concerns named, identifiable artists; you may use it only for legitimate marketing of that artist, not for harassment or doxxing.

We may suspend or terminate AI features or accounts that violate this section, and disclosure obligations for AI-generated or synthetic content under applicable law or platform rules (for example, labeling requirements for synthetic media) are your responsibility when you publish.

9. Content About Other People (Artists You Manage)

In short: If you run a consultation about an artist who isn't you, you're confirming you have their permission.

WeSyncApp lets you build profiles and run AI research and content generation about artists, who may be you or third parties you represent. When the artist is not you, you represent that you are authorized (by the artist or your role, e.g., manager or label) to submit their name, bio, likeness, and related details for AI processing and to receive AI-generated research about them, which may include information gathered from public web sources. An artist who believes their information is processed in WeSyncApp without authorization may contact julzmuzix@icloud.com.

10. Human Review

In short: We don't routinely read your AI prompts or outputs, but authorized personnel may access them in limited cases like support and abuse investigations.

WeSyncApp does not systematically review your consultation inputs or AI outputs. Authorized personnel may access them only as needed to: provide support you request, investigate suspected violations of Section 8 or our Terms, debug or maintain the service, or comply with law. AI providers may additionally apply their own automated and human safety review to API traffic under their published policies.

11. Using WeSyncApp Without AI

In short: You can skip AI entirely — don't add API keys, use mock mode, and every non-AI feature still works.

You are never required to use AI. To use WeSyncApp without any AI processing:

Add no API keys (or remove saved keys in Settings). No data will be sent to any AI provider; transcription is automatically skipped for uploads.
Use mock mode to preview the consultant workflow with placeholder output and no external processing.
Skip the consultant entirely — campaigns, tasks, smart links, fan capture and export, metric imports, the media library, and the video editor's non-AI functions all operate without AI (AI-dependent conveniences, such as auto-captions from transcripts, will be unavailable).

12. Apple App Store Note (iOS App)

In short: The iPhone app itself contains no AI keys and talks only to our servers; AI runs server-side with the same rules above.

The WeSyncApp iOS app does not embed any AI provider or API key and never communicates directly with AI providers. When you run AI features from the app (for example, audience research in the consult wizard), your inputs travel over an authenticated connection to our backend, which applies this disclosure exactly as it does on the web — including BYOK provider selection, the data limits in Section 3, and the opt-in rules in Section 5. The iOS app contains no third-party analytics, tracking, or advertising SDKs. AI features on iOS are user-initiated, and outputs shown in the app are subject to the same review-before-use responsibility in Section 6.

13. Disclaimers, Liability, and Indemnity for AI Features

In short: AI features are provided as-is; we're not liable for what a model gets wrong, and you cover us if your prohibited use of AI causes claims.

To the maximum extent permitted by law: AI features and outputs are provided "as is" and "as available," without warranties of any kind, express or implied, including accuracy, reliability, originality, non-infringement, merchantability, or fitness for a particular purpose. We Sync Global, LLC is not liable for losses arising from AI output errors or omissions, your publication of or reliance on outputs, provider outages or policy changes, or provider handling of data you sent under your own key — and our total liability connected to AI features is subject to the limitation-of-liability provisions of our Terms of Service, which are incorporated here. You agree to indemnify and hold harmless We Sync Global, LLC from third-party claims arising out of your violation of Section 8 or 9 or your publication of AI outputs. Nothing in this section limits liability that cannot lawfully be limited, and consumers in some jurisdictions have statutory rights this section does not displace.

14. Changes to This Disclosure; Severability; Contact

In short: If we add providers or change what data is sent, we'll update this page and tell you about material changes.

We may update this disclosure as WeSyncApp's AI features, providers, or applicable law change. For material changes — such as adding a new category of data sent to providers or a new default (non-BYOK) provider — we will provide reasonable advance notice (for example, by email or in-app notice) before the change applies to you, and continued use of AI features after the effective date constitutes acceptance. If any provision of this disclosure is held unenforceable, it will be modified to the minimum extent necessary and the remainder stays in effect. This disclosure is governed by the laws of [GOVERNING LAW STATE], consistent with our Terms of Service.
